Time, attendance and leave

Capture time the way your people work: at a biometric terminal, on the web or on a phone in the field. HR4ON turns punches into paid days with rules you can read, and hands a frozen, approved period to payroll.

  • Attendance and working time
  • Shifts, rosters and holiday calendars
  • Leave and absence
  • Timesheets, projects and allocation

What it solves

The everyday problems this part of HR4ON takes away.

  • Punches from devices, phones and paper that never quite agree.
  • Remote and field staff whose attendance cannot be checked.
  • Leave balances kept in spreadsheets and disputed at year end.
  • Payroll starting before attendance is final, then corrected for months.

Key capabilities

  • Matrix COSEC devices

Connect Matrix COSEC face, finger and card terminals: HR4ON reads events from your COSEC server, or the device sends them. Device log files can be imported too. No fingerprints or face templates are stored.

  • Phone and web punches

Clock in and out from Home on a phone or a browser. Each punch records whether it came from a phone, the web or a device.

  • Geofence at punch time

Location is read once, only at the moment of the punch, and checked against the office geofence. Your policy decides whether outside punches are blocked or flagged for review.

  • Selfie rules

Ask for a selfie at clock-in or out, set separately for inside the office and for remote punches. Photos are seen only by the employee, their manager and HR, and are deleted after your retention period.

  • Punch reviews

Remote, outside-office, low-accuracy and selfie-missing punches go to the manager with the selfie, location and reason. Unreviewed punches escalate to HR.

  • Shifts, rosters and holidays

General, rotating, split, flexible, overnight and on-call shifts. Rosters are checked for overlaps, rest time, weekly hours, leave, skills and coverage before they are published.

  • Leave with a clear ledger

Leave types and versioned policies with accrual, carry forward, encashment, sandwich rule and half days. Balances come from a ledger and are never edited directly.

  • Timesheets and allocation

Weekly timesheets by project and activity, billable or not. Each project manager approves their part, and the allocation planner flags anyone over 100%.

  • Frozen periods for payroll

Freeze the attendance period when there are no blockers. The snapshot needs a payroll checker’s approval, and late corrections become adjustments for a later payroll.

How it works

  1. Set the rules

Attendance policies set grace, full and half day minutes, rounding, breaks, overtime, location and selfie rules. Preview them on a sample day.

  2. Plan the work

Build rosters from work patterns, assign duties and open shifts, validate, approve and publish. Employees see their shifts and holidays.

  3. Capture punches

Punches arrive from devices, phones and the web. Remote and outside-office punches are queued for review.

  4. Fix exceptions

Employees request corrections with evidence, managers approve, and HR decides the remaining exceptions with a reason.

  5. Hand over to payroll

Readiness lists anything blocking. Freeze the period, get it approved, and payroll uses the snapshot.

Who uses it

  • EmployeesClock in and out, see their calendar, request corrections, apply for leave and fill in timesheets.
  • ManagersReview remote punches, approve corrections, leave and timesheets, and plan rosters.
  • HR teamsSet policies, devices and geofences, decide exceptions, run leave year-end and freeze periods.
  • PayrollApprove the attendance freeze and use the snapshot in the payroll run.

Questions

Which biometric devices work with HR4ON?

HR4ON connects to Matrix COSEC face, finger and card terminals, either by reading events from your COSEC server or by the device sending them. Other terminals can feed HR4ON through an imported log file.

Does HR4ON track employees’ location all day?

No. Location is read once, only at the moment someone punches, and only when your policy and the employee’s permission allow it.

Is the selfie used for face recognition?

No. The selfie is a photo for the manager’s review. It is visible only to the employee, their manager and HR, and is deleted after the retention period you set.

What happens when someone forgets to punch?

The day shows as needing a fix. The employee requests a correction with a reason and evidence, and the manager approves it. The original punches stay on record.

Do missing timesheets reduce pay?

No. Timesheets track project time and utilisation. Missing or late timesheets never create loss of pay.
