Exits, clearance and final settlement

A good exit is fair, quick and complete. HR4ON brings notice, clearance, documents, access and the final settlement into one case, so nobody leaves with something unpaid or unreturned.

  • Separation, offboarding and full and final settlement

What it solves

The everyday problems this part of HR4ON takes away.

  • Resignations sent by e-mail and lost.
  • Clearance chased department by department.
  • Settlements that miss leave encashment, loans or assets.
  • Access left open after the last working day.

Key capabilities

  • Resign from My exit

Employees resign with a requested last day, a message to their manager and handover notes, and can withdraw while it is under review.

  • Notice and shortfall

Compare required notice with days served, then waive, recover or pay in lieu, with the amount and tax treatment, and send it for approval.

  • Clearance

Tasks for each department with evidence, disputes, escalation and waivers. A disputed amount is recorded separately; statutory pay is never withheld.

  • Exit interviews

Record answers that only authorised HR can see, never the manager.

  • Full and final settlement

Collect inputs from payroll, leave, attendance, statutory, expenses and loans: salary to the last day, leave encashment, notice pay, recoveries and tax.

  • Maker-checker settlement

The payroll maker prepares, a checker approves, the settlement goes to payroll and finance records the payment. Disputed items do not block the undisputed amount.

  • Access closure

Set when sign-in closes and what former-employee access remains, for example documents only until a date.

  • Exit documents

Relieving and experience letters are generated as drafts from your templates.

How it works

  1. Start the exit

The employee resigns, or HR or a manager initiates the exit with its type.

  2. Agree the dates

Review notice, decide any shortfall and get the dates approved.

  3. Clear

Departments complete clearance tasks, including asset returns.

  4. Settle

Payroll collects inputs and prepares the settlement; it is approved and paid.

  5. Close

Close access, issue documents, record the exit interview and close the case.

Who uses it

  • HR teamsRun exit cases, review dates, coordinate clearance and close access.
  • PayrollPrepare the final settlement and submit it to payroll.
  • FinanceApprove the settlement and record the payment.
  • EmployeesResign, follow clearance and see their settlement.

Questions

Can a dispute hold up the whole settlement?

No. Disputed items are recorded separately and do not block the undisputed amount. Statutory entitlements are never withheld.

Does the manager see exit interview answers?

No. Answers are seen only by authorised HR.

What if an input arrives after the settlement?

Check Late Inputs creates a linked supplemental off-cycle run, so the original settlement stays as it was.
