Payroll with maker-checker approval

Payroll is the promise you keep every month. HR4ON checks the inputs before you calculate, explains every change, and makes sure the person who prepared the run is never the person who approves it.

  • Salary structures and compensation
  • Payroll processing and payslips
  • Employee benefits

What it solves

The everyday problems this part of HR4ON takes away.

  • Runs calculated on incomplete attendance, leave or salary data.
  • Large changes in net pay that nobody can explain.
  • One person preparing and approving the same payroll.
  • Corrections made by editing last month’s figures.

Key capabilities

  • Readable salary formulas

Components as fixed amounts, percentages, formulas or the balancing remainder of CTC. Formulas use IF, SLAB, LOOKUP and MIN and are checked as you type, for example IF(METRO, 50%, 40%) × BASIC.

  • Structures and bands

Versioned salary structures tested at a sample CTC and at each grade’s band edges. Proposals outside the band are flagged or blocked.

  • Revisions and merit cycles

Individual revisions, bulk increments and merit worksheets with a budget and a merit matrix. Backdated revisions create arrears and never rewrite a finalised payroll.

  • Readiness before you calculate

Locking inputs takes a snapshot of attendance, leave, salary, benefits, expenses and loans. Blockers, payment issues and warnings are listed with an owner.

  • A trace for every line

Each payslip line shows the unrounded amount, the rounding and the formula version. Every source record is paid once, never twice.

  • Variance you must explain

Net pay changes above your threshold (5, 10 or 25%) are listed with the reason derived from the source data. Unexplained variances block submission.

  • Four-eyes approval

The checker ticks four checks before Approve is enabled. Whoever calculated or submitted the run can never approve it, and any later change to the inputs cancels the approval.

  • Payslips on the phone

Payslips are released on finalisation. Employees see net pay, earnings, deductions and year to date in My payslips, and download or share a PDF.

  • Arrears, off-cycle and reversals

Regular, off-cycle, correction, final settlement and reversal runs. A corrected payslip is linked to the original, which is kept.

How it works

  1. Create the run

Choose the pay group, period, run type and pay date. Only one regular run can be open per group and period.

  2. Lock inputs and check readiness

HR4ON snapshots the population and approved inputs, and lists blockers and warnings with their owners.

  3. Calculate and review

Calculate in the background, then review results, exceptions, payment holds and variances.

  4. Submit for approval

The maker explains variances and submits. The checker reviews totals and the locked calculation.

  5. Approve and finalise

The checker ticks the four checks and approves. Finalising posts results, creates payslips and payment liabilities for finance.

Questions

Can an administrator approve a payroll run they prepared?

No. Whoever calculated or submitted a run can never approve it, whatever their role.

What happens if leave changes after payroll is approved?

A scheduled check marks the run as having stale inputs, and a change after approval cancels the approval, so the run is reviewed again.

How are mistakes in a finalised payroll fixed?

With arrears, a correction run or a linked reversal run. The original payslip is kept and the corrected one is linked to it.

Does finalising payroll pay the employees?

No. Finalising creates payment liabilities. Finance pays them in Payments and accounting, with its own approval.

Are benefits included?

Yes. Benefit plans, enrolment windows, dependants and allowance claims are handled in Benefits, and accepted elections reach payroll as contributions and employer costs.
