Assets and contingent workforce

Know who holds every laptop, phone and licence, and who is working on site through a vendor. HR4ON tracks equipment and contractors with the same care as employees.

  • Contractors and contingent workforce

What it solves

The everyday problems this part of HR4ON takes away.

  • Laptops issued with no record of who holds them or what came with them.
  • Leavers who exit without returning equipment.
  • Contractors deployed without the required documents.
  • Vendor invoices paid without checking the work done.

Key capabilities

  • Receive and label

Receive assets from purchase, lease, rental or opening stock with vendor, invoice and warranty details. Each unit is tagged and labels print as a PDF.

  • Scan by QR or barcode

Find an asset by scanning its label with a camera, a handheld scanner or by typing the tag.

  • Issue and acknowledge

Issue with accessories ticked and category rules checked. The employee acknowledges receipt in My assets or reports a problem.

  • Returns, repairs and audits

Returns with condition and missing items, repairs under warranty or AMC, and physical audits from a snapshot with scan-and-reconcile results.

  • Value and recovery

Cost, depreciation and net book value. Loss or damage recovery is approved, capped at a share of book value, and taken through payroll or final settlement.

  • Software licences

Licence seats, assignment and reclaim, renewal and seat changes.

  • Contracts and vendors

Contracts set rates, sites and the evidence each worker needs. Workers are registered only against an approved, active contract.

  • Evidence-gated deployment

A worker cannot be deployed while required evidence is missing or expired, unless an exception is approved.

  • Vendor claim checks

Validate a vendor’s claim against approved work and the contract rate, and see the variance before it goes to finance.

How it works

  1. Receive and tag

Record the purchase and print labels for each unit.

  2. Issue

Issue to a joiner or employee, automatically from onboarding requests; the employee acknowledges.

  3. Maintain and audit

Track repairs and run physical audits by scanning.

  4. Recover at exit

A return task is added to every exit clearance, and recoveries go through the final settlement.

Questions

Does camera scanning work on every phone?

Camera scanning works in Chrome on Android and on recent Macs. Elsewhere, use a handheld scanner or type the tag.

Are contractors paid through HR4ON payroll?

No. Contractors are engaged through a vendor. HR4ON checks the vendor’s claim against approved work and passes the approved amount to finance.

What happens to a leaver’s laptop?

A “Return company assets” task is added to the exit clearance for the custodian. Any recovery is approved and taken through the final settlement.
